A Plan For Planning CCSF'10

I would like to propose, if I may, a plan for planning this year's CCSF.

Last year we had some minor problems communicating between two major hubs of CC activity-- Ctopia and Ccaves-- it required a bit of work to make sure everyone was on the same page, merging poll results, etc.. I have planned out a system that may help remedy this, and get our CCSF plans moving along (It's June already guys!).

The planning process would consist of a series of 3-4 offsite surveys/polls (most likely hosted on my own space unless I can find an awesome survey site that allows as many options as we need and doesn't require voter signup, etc), creating a neutral ground for everyone regardless of forum affiliation.

The first survey would be completely open-- no bullet points or checkboxes, just blank spaces for each person to write their opinion of every aspect of CCSF'10, including when, how long, themes, and so on. This would serve to gather everyone's opinions into nice little easy-to-sort categories-- nothing more; plenty of discussion will be encouraged on both forums, and you can fill out the survey as many times as you want if you change your mind or want to add something new.

The second survey would be a big checkbox poll, in which all data collected in the first survey would be reflected. It would probably be the largest and most tedious as it would include every suggestion on it, but each suggestion would be a voteable option. People would be able to check as many options as they like.

The surveys after that would gradually narrow the selections down, eliminating the items least voted for from the poll. How many of these take place would depend on how spread out the community is on various options. If the majority is leaning toward two or three different themes/timeframes/etc, the third poll could easily be the last, but if everyone wants something different, it may take a bit longer.

I'm thinking the first survey would be open for two weeks (to give everyone a chance to gather) and subsequent surveys open for a week each. Hopefully in the end we'll have something we can be happy with!

Of course, this is a bit audacious, and I wouldn't launch into something this complex and impacting without the community's blessings, so I ask you all: Does this sounds like an effective plan? Is there anything you would change, any concerns you have? Would you rather someone else collect the data? Do you want to burn this plan and stomp on it?

I have no intention of going forward with this without the majority's approval, so let me know what you guys think! :)

Sounds like a good plan, and very neat and organized. The time sure does fly by, it seemed like the last CCSF just happened.

I like this idea. You could use an external survey website, stopping you from having to collate data.

I think Amai would be an excellent coordinator, personally!

It does sound good. I was thinking it might also be a good idea to have an external forum for discussion, or perhaps you could just have comments on each poll. It would also be wise to have the system as automated as possible eg the aforementioned external survey website. Polldaddy looks decent and has a free text option, data export etc.

Edit: Hmm, some of these are only paid options..

Glad to see you guys approve so far! We'll see what everyone else has to say over the next few days.

It just hit me that the easiest way to do this would probably be via Google Docs form. No voter sign-in required, all the customization we want, plus the data would be dumped into a spreadsheet and easily organized.

As for coordinating... perhaps the survey could serve for nominations of that sort as well-- and the nominees that accept could be added to the later polls?

I personally lean toward avoiding external forums for the planning stages as I don't want to further divide the planning discussion more than it is already split between two forums; it's certainly still up for discussion though.

SurveyMonkey.com I've found to be pretty good. Only the person who makes the survey has to have an account, anyone can vote, etc etc. It's very versatile.

This sounds like a great idea! I've never been part of CCSF before, but I'm very excited to jump in this year! I think Google Docs is generally a good option, but then again, I'm heavily biased in favor of Google. Ha ha! Good luck getting the ball rolling!
